PathHub AI is your intelligent preliminary stage - here you identify everything important
before you start in Trello, Asana, or Jira.
The Workflow
PathHub AI works in three steps:
1. Analyze AI finds forgotten stakeholders & requirements
2. Create ActionPath Complete plan with all dependencies
3. Execute Continue working here OR export
Proceed to Execution
After analysis, you can manage your project directly in PathHub AI – with integrated
project management for tasks, budget, and milestones. If you already use another tool,
simply export your ActionPath to Trello, Asana, Jira, or Monday.com.
PathHub AI Home Screen - Your central dashboard
Tip: The more detailed your project description, the more potential
problems the AI finds - stakeholders, approvals, compliance topics.

Step 2-3: Industry & Departments
Select your industry and capture the relevant departments (Development, Marketing, Sales, etc.).
Step 4: Key Stakeholders
Define important contacts with role, responsibility, and criticality.
Step 5-8: Processes & Compliance
Approval processes, compliance standards (GDPR, ISO 27001), and typical challenges.

Stakeholders & Key Contacts
Approval Processes
Challenges & Pain Points
Documents as AI Context
Upload company documents (PDF, DOCX, XLSX, PPTX, CSV, TXT) to your workspace and enable them as AI context.
The AI then considers this information when creating ActionPaths – for even more precise and relevant project plans.
Company policies – Guidelines, processes, compliance documents
Industry standards – Regulations, certifications, requirements
Upload documents and enable them as AI context
Tip: Enable “Use as AI context” for particularly important documents – the AI will
then consider this information in every new ActionPath for your workspace.
JSON Import for Professionals
Already have workspace data in a structured format? Use the
JSON import function to import your workspace in seconds.
Tip: You can edit your profile at any time. Go to
"Workspace" and use the edit buttons in the individual sections.
Team Collaboration
With workspace sharing, you can invite colleagues to your workspace.
All members see the same Paths, stakeholders, and documents – without duplicate work.
Requirements
Team sharing is available from the Pro Plan. The maximum number
of members per workspace depends on your plan:
Free Only you – no sharing
Pro Up to 3 members
Max Up to 10 members
Enterprise Unlimited
Invite Members
Step 1: Open the Members tab
Gehe zu deinem Arbeitsbereich und wähle den Tab „Mitglieder".
Step 2: Enter email
Enter the person’s email address and select a role: Editor or Viewer.
Step 3: Send invitation
Klicke auf „Einladung senden". Die Person erhält eine E-Mail mit einem Einladungslink, der 7 Tage gültig ist.
Step 4: Accept invitation
The invited person clicks the link, logs in (or registers for free), and immediately gains access to the workspace.
Roles Overview
Each member has one of three roles, which determines what they are allowed to do in the workspace:
Owner – Full access: Manage members, change roles, delete workspace. The creator of the workspace is automatically the owner.
Editor – Can create and edit Paths, manage stakeholders, use the AI assistant, and upload documents. However, cannot manage members or delete the workspace.
Viewer – Read-only access to all content in the workspace. Ideal for executives or external consultants who want to track progress.
Manage Members
As an owner, you can at any time:
Change a member’s role (e.g., from Viewer to Editor)
Remove members from the workspace
Revoke pending invitations before they are accepted
Non-owners can leave the workspace at any time.
Tip: Invited persons need a PathHub AI account. If they don’t have one yet, they can register for free via the invitation link – the workspace will then be automatically assigned.
Manage Stakeholders
Stakeholders are key roles in your company that are relevant for projects.
PathHub AI uses this information to assign responsibilities.
Stakeholder Categories
Management: CEO, CFO, IT Management, Operations
Departments: Marketing, Sales, Human Resources
Specialists: Data Protection, Compliance, IT Security
Other: Works Council, External Consultants
Stakeholder management with roles and responsibilities
Mark Critical Stakeholders
Mark stakeholders as “Critical” if their approval or
involvement is essential for project success. These are given special
consideration in project plans.
Create ActionPath
The core of PathHub AI: The AI analyzes your initiative and finds everything
you might have overlooked - before it becomes a problem.
Start a New ActionPath
Step 1: Describe your project
Beschreibe dein Projekt in wenigen Sätzen, z.B. „CRM-System für 200 Mitarbeiter einführen". Je konkreter, desto besser das Ergebnis.
Step 2: Set details & options
Choose the project type (IT, Marketing, HR, etc.), optionally specify budget, timeline and team size. You can also upload a document as context.
Step 3: Generate ActionPath
Klicke auf „ActionPath generieren". Die KI analysiert dein Vorhaben in ca. 30 Sekunden und erstellt einen vollständigen Plan.
Step 4: Review & adjust
You receive a complete action plan with phases, budget, risks, stakeholders, compliance and milestones. Everything is editable and exportable.
What the AI Automatically Detects
Stakeholders Including forgotten ones like works council, DPO, or IT security
Compliance GDPR, NIS2, ISO, works agreements
Risks Industry-specific risks and mitigation strategies
Dependencies What needs to happen first? Critical path
Step 1: Describe the project
Step 2: Details & Options
Two Modes: Complete Plan vs. Free Mode
When creating a new ActionPath, you can choose between two modes:
Complete Plan (Default) The AI generates a full project plan in one go with all sections: phases, budget, risks, stakeholders, compliance, milestones, and checklist. Ideal for new projects where you need a quick overview.
Free Mode (New) Create an empty ActionPath and generate only the modules you actually need. For experienced project managers who want to build specific areas with AI support.
How Free Mode Works
Step 1: Choose Free Mode
Wähle beim Erstellen den „Freier Modus"-Tab.
Step 2: Enter title and description
Enter only a title and description — no budget, timeline or other options needed.
Step 3: Create empty ActionPath
An empty ActionPath is created that you can fill step by step.
Step 4: Generate modules individually
In der Detailansicht siehst du bei jeder leeren Sektion einen „Mit KI generieren"-Button. Klicke ihn, um die gewünschte Sektion zu generieren.

Refine ActionPath
The AI creates a first draft - you refine it,
before it is exported to your PM tool.
What you can adjust
Add/remove stakeholders - The AI suggests, you decide
PathHub AI automatically creates a detailed budget for your project.
The AI analyzes your project, the selected phases and tasks, and generates
a realistic cost breakdown – categorized by type.
How is the budget generated?
When creating your ActionPath, the AI calculates an individual budget based on your project description,
industry, and company size. The following are considered:
Personnel costs – Internal and external resources per phase
Consulting costs – External service providers and consultants
Training costs – Training and further education
Other costs – Travel expenses, materials, contingencies
Budget Features Overview
Category Overview: All cost items grouped by category with target budget and percentage share
Track actual costs: Enter ongoing expenses and monitor consumption in real time
Target/Actual Comparison: Automatic calculation of variance per category
Budget Risks: The AI identifies potential cost risks and suggests countermeasures
Overall Budget Progress: Visual progress bar for the total project budget
Budget Overview with Categories and Target Costs
Tip: Update the actual costs regularly so the AI recommendations
can provide well-founded budget analyses. The more accurate the data, the better the
action recommendations for impending overruns.
Timeline & Gantt Chart
The Timeline visualizes your entire project plan as an interactive Gantt chart.
All phases, tasks, and milestones are displayed chronologically – automatically
calculated by the AI and customizable by you.
Automatic Scheduling
When creating the ActionPath, the AI calculates start and end dates based on:
Phase Duration: Each phase has an estimated duration in weeks
Dependencies: Phases build upon each other – the timeline considers the sequence
Parallelism: Tasks within a phase run in parallel
Start Date: Your chosen project start date as the starting point
Edit the Timeline
Move phases: Change start and end dates directly in the phase view
Adjust duration: Lengthen or shorten individual phases as needed
Set milestones: Mark important intermediate goals and deadlines
Track progress: Completed tasks are highlighted in the timeline
Timeline with Gantt chart and phase overview
Tip: Use the timeline as a communication tool: Export it as a
PDF and share the visual project plan with stakeholders and management.
Risk Management
PathHub AI automatically identifies potential project risks and provides
concrete countermeasures – even before you start the project.
Automatic Risk Detection
When creating your ActionPath, the AI analyzes your undertaking for typical
project risks. The following are considered:
Technical Risks: Integration challenges, legacy systems, data migration
Organizational Risks: Resource bottlenecks, resistance to change, skill gaps
Compliance Risks: Regulatory changes, audit requirements, data protection
Risk Assessment
Each detected risk is assigned a probability of occurrence and an impact assessment.
This allows you to see at a glance which risks need to be prioritized:
High: Immediate action required – critical for project success
Medium: Plan countermeasures and keep an eye on them
Low: Acceptable residual risk with predefined fallback plans
Managing Risks
Edit: Adjust the description, impact, and countermeasures according to your assessment
Add: Supplement your own risks that you know from experience
Remove: Delete risks that are not relevant for your specific project
Risk overview with assessment and countermeasures
Tip: Use the AI assistant to identify additional, industry-specific
risks: "What risks exist specifically for IT projects in the healthcare sector?"
Compliance & Regulatory
An often overlooked aspect of project planning: PathHub AI automatically detects
relevant compliance requirements based on industry, project type, and company context.
What is detected?
The AI analyzes your undertaking and identifies regulatory requirements:
GDPR / Data Protection: Processing of personal data, retention periods, data processing agreements
ISO Standards: ISO 27001 (Information Security), ISO 9001 (Quality Management)
Works Council: Measures subject to co-determination for technical changes
Internal Policies: Approval thresholds, procurement processes, IT security policies
Compliance Tracking
Each detected requirement contains:
Requirement: What exactly needs to be implemented
Responsible: Who is responsible for compliance
Estimated Duration: How long the implementation takes
Category: Mandatory (legal) or Important (Best Practice)
Compliance requirements with categories and responsible parties
Tip: Store your company’s compliance standards (GDPR, ISO 27001, etc.) in the workspace – then the AI will automatically recognize the relevant requirements for new projects.
Milestones & Progress
Milestones mark important interim goals in your project. PathHub AI automatically generates meaningful milestones based on project phases and dependencies.
Automatically Generated Milestones
When creating an ActionPath, the AI sets milestones at critical points:
Phase Completions: Clear marking of when a phase is successfully completed
Approval Points: When stakeholder approvals need to be obtained
Go/No-Go Decisions: Critical decision points in the project timeline
Quality Gates: Review points for quality assurance and testing
Managing Milestones
Set Status: Mark milestones as open, in progress, or completed
Adjust Dates: Shift milestones in case of plan changes
Dependencies: See at a glance which tasks must be completed for the milestone
Milestones with timeline and dependencies
Tip: Export milestones to your calendar or communicate them to stakeholders as clear expectations – this keeps everyone on the same page.
AI Assistant & AI Recommendation
Two powerful AI features are available to you directly in the project – anytime, contextually, and in real-time.

Best Practices
This is how you find everything important before it becomes a problem in the project
Let the AI find what you forgot
The biggest added value of PathHub AI: The AI finds what you overlooked.
Stakeholder: "Does the works council need to be involved?"
Compliance: "Do I need a data protection impact assessment?"
Approvals: "Who needs to approve the budget?"
Dependencies: "Which systems are affected?"
Maintain your workspace
The better your workspace profile, the more the AI can find for you.
Record all approval thresholds (e.g., "CFO approval required above €50,000")
Document compliance standards (GDPR, ISO 27001, works council)
Store critical stakeholders with their responsibilities
Note typical stumbling blocks from past projects
Describe in detail
The more context you provide, the more potential problems the AI can find.
Basic: "Implement a CRM system"
Better: "CRM for 50 sales reps, integration with SAP, personal data, budget 100k"
The AI then recognizes: GDPR-relevant, works council, CFO approval, IT security...
Check before exporting
Before you export to your PM tool - use the checklist:
Have all critical stakeholders been identified?
Have all approval processes been considered?
Are compliance requirements covered?
Are dependencies on other systems/teams clear?
Export if needed
If you want to continue working in another tool:
Select the right format for your team (Trello, Asana, Jira...)
Also export the stakeholder list separately
Document identified risks for the kick-off
Or: Use the integrated PM in PathHub AI and keep everything in one place
